Built for a desk that cannot stop.
Most small hotels still run the desk on a paper register, a spreadsheet and a handwritten bill. HotelEase puts those jobs in one Windows app: a live room board, guest records with ID proof, and a GST invoice generated from the same booking.
There is no cloud login and no reconnecting screen. A dropped line does not stop check-ins or billing.
The data stays in the building.
Records are stored in an encrypted file on the reception PC. SQLCipher AES-256 encrypts the database, Windows DPAPI protects the key, and a backup runs every time the app opens. The last five backups are kept, and a full encrypted export can be written to an external drive.
What it does.
GST invoices
CGST and SGST split at your configured rate, sequential invoice numbers, a PDF generated from the booking and reprintable from the built-in viewer.
Encrypted local data
SQLCipher AES-256, Windows DPAPI key protection, automatic backups on launch and an encrypted export to external storage.
Audit trail and roles
Logins, check-ins, check-outs and edits record the user, machine, time and before/after values. Admin, Manager and Receptionist roles limit access.
Who it's for.
Owner-run hotels, lodges and guest houses with roughly 10 to 50 rooms, one reception PC and a small front-desk team. They have no IT staff, often run on paper or Excel, and cannot absorb downtime or billing mistakes.
The first market is Bardhaman and Durgapur in West Bengal, then Tier 2 and Tier 3 India.
Good to know.
- v2.2 is a single-PC Windows app. Hotel records stay in an encrypted local file; there is no cloud sync.
- First install may need internet if Microsoft Edge WebView2 is not already on the PC.
- GST invoices use the rate you configure. HotelEase generates and reprints bills; it does not file returns.
